Privacy Policy
How Keystone Technologies collects, uses and protects your information.
Effective date: October 23, 2026
Keystone Technologies ("we", "us", "our") respects your privacy and is committed to protecting the personal information you share with us. This policy explains what we collect, how we use it, and the choices you have. We follow the requirements of Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy legislation.
Information we collect
- Information you provide directly: name, business name, email, phone number and any details you include when you contact us, request a quote, apply for a position, or sign in to a client portal.
- Information collected automatically: basic technical data when you visit our site, such as IP address, browser type, pages viewed, and referring URL. This is used for analytics and site security.
- Service delivery information: when we manage IT systems on your behalf, we may collect technical data about your environment (asset inventory, logs, configurations) under the terms of our service agreement.
Our website chat assistant
The chat assistant on our contact page is an automated AI assistant, not a person. What you type into it is sent to our AI provider, Anthropic, to generate replies. The conversation is stored for 30 days so our team can follow up, then deleted automatically. If you share your name, company, phone number or email in the chat, those details and the conversation are sent to our team by email so someone can get back to you, and the contact details are kept with our other enquiries. Please don't enter passwords, account numbers or other sensitive information in the chat.
Contact form and job applications
Messages sent through our contact form are emailed to our team and kept with our records of enquiries. If you attach a résumé, it is emailed to the staff who review applications and is not stored on our website. We use Cloudflare Turnstile on the form to block automated spam, which checks your browser without using cookies for advertising. If you tell us how you heard about us or who referred you, we use that only to understand which referrals and channels bring people to us.
How we use your information
- To respond to inquiries and deliver the services you request.
- To manage and protect IT environments under our care.
- To send service-related communications (outage notices, maintenance windows, invoices).
- To improve our website and operations.
- To meet legal, regulatory and contractual obligations.
How we share information
We do not sell your personal information. We share it only with:
- Our staff and authorized contractors who need it to deliver services to you.
- Vendors that power our tools (e.g. RMM, ticketing, email and cloud platforms, and the AI provider behind our website chat assistant), under contractual obligations to protect your data.
- Advertising and analytics providers (currently Google), which receive limited technical data through cookies as described in the Cookies and advertising section below.
- Authorities, when required by law.
Where your information is stored
Some personal information is processed and stored outside Canada, including in the United States, by the service providers we use: Google (analytics and advertising), Cloudflare (website hosting and security), Resend (sending form emails to our team) and Anthropic (our website chat assistant). While it is there, it may be accessible to courts, law enforcement and national security authorities under the laws of those countries.
How long we keep it
We keep contact-form submissions and chat enquiries, along with the IP address they came from, for 2 years, then delete them. Chat conversations are deleted after 30 days, as described above. Information about clients is kept for as long as our service agreement and the law require.
How we protect your information
We use administrative, technical and physical safeguards appropriate to the sensitivity of the information, including encryption in transit and at rest, multi-factor authentication, role-based access controls and regular security review.
Cookies and advertising
This website does not need cookies to work. The analytics and advertising tools described below set cookies, and Cloudflare, which protects the site, may set short-lived security cookies.
We also use Cloudflare Web Analytics, which collects aggregate visit and page-performance data without cookies and does not track individuals across sites.
We also use Google Analytics, which uses cookies to help us understand how visitors find and use our site, as described in Google's Privacy Policy.
We use Google Ads and its measurement tool (Google tag, or "gtag.js") to understand how visitors reach our site and whether our advertising is effective. This may set cookies that measure conversions (for example, whether a visitor who clicked one of our ads later contacted us) and that support remarketing, meaning you may see our ads on other websites after visiting ours. Google may collect information such as your IP address and pages visited, as described in Google's Privacy Policy.
You can opt out of personalized advertising through Google Ads Settings or learn more about interest-based advertising in Canada at youradchoices.ca.
To stop Google Analytics from measuring your visits, you can install Google's opt-out browser add-on. You can also block or delete cookies in your browser settings, and the site will still work.
Your rights
You can ask to see the personal information we hold about you, ask us to correct it, or ask us to delete it. To make a request or a complaint, contact our Privacy Officer by email at info@keystonetech.ca or by mail at the address below. We'll respond within 30 days, as Canadian privacy law requires. If you're not satisfied with our answer, you can contact the Office of the Privacy Commissioner of Canada.
Changes to this policy
We may update this policy from time to time. The "Effective date" above shows when it was last revised. Material changes will be highlighted on this page.
